Privacy Policy
This policy explains what Lumatrait LLC (“we”, “us”) collects through Verbatim, why, and what you can do about it. It covers two groups of people: customers, who sign up and use Verbatim to make pages, and prospects, who open a page a customer sends them.
Short version
- We collect what we need to run Verbatim, and nothing for advertising.
- We don't sell personal information, and we don't use your content to train AI models.
- Prospect pages use no cookies and don't store IP addresses. We store a one-way code instead, so the sender can tell a new reader from a returning one.
- Email us at dave@lumatrait.com to see, fix, export or delete your data.
Information about customers
| What | Why |
|---|---|
| Name, work email, title, phone (optional) and booking link | Your account and sign-in, and the byline on your pages. |
| Your company's website address and the public pages we read from it | To match your pages to your brand and to source the claims on them. |
| Call notes, call transcripts you upload, products, proof, edits and the pages you create | To write and show your pages. |
| Brand documents you add (PDF, Word or a shared Google Doc) | To learn your company's voice, proof and products. We keep the text only, never the file, and delete it when you remove the document or your company's account is deleted. |
| Buyer voice and saved answers | To show your team, inside Verbatim only, what buyers worry about and ask (from your call notes, transcripts and questions on your pages), grouped into themes, with the names, companies, emails, links and phone numbers Verbatim can recognize removed automatically (best effort). Answers your team saves are used to draft replies and pages for your company only. Never shared with other customers and never used to train AI models. |
| Price list, discount rules, quotes and proposals (if you use Deal desk) | To work out quotes by your own rules, route discount approvals, and show proposals you send. Prices are calculated from your list, never by AI. Shown to a prospect only if you turn that on. |
| Activity in the app (pages made, links sent, last active) | To run your dashboard, support you and keep the service working. |
| Billing details | Payments run through Stripe. We store your Stripe customer and subscription IDs and status. We never see or store your full card number. |
| Slack connection (if you add it) | Your Slack workspace and user IDs, and an access token stored encrypted, so we can send you alerts. |
| A sign-in cookie | Keeps you signed in. It's the only cookie Verbatim sets, and it isn't used for tracking. |
Information about prospects
When you open a page someone sent you, we record:
- That it was opened, when, and the device type (phone, tablet or desktop).
- A one-way code made from your network address and browser type. The raw address is never stored. The code lets the sender tell how many different people read the page.
- What you choose or tap on the page: how far you read, priorities you pick, sources you open, buttons you click and links you share.
- Questions you ask, and your email address if you choose to give it, so the sender can reply. On a proposal, if you click “I’m ready to go”, the name, email, signing preference and note you enter go to the sender. The sender's company may also see your question, with your name, company and email removed, alongside other buyers' questions, to improve how they answer. If you ask a question, your browser keeps a private key in local storage so you can see the reply when you come back. Pages set no cookies.
The person who sent you the page sees this activity. The page itself may also include information about your company that the sender wrote in their call notes. For that information, the sender's company decides what goes in, and we process it for them. To have it changed or removed, contact the sender or us.
How AI is used
Verbatim uses AI models from Anthropic. To do its work, Verbatim sends Anthropic: a customer's call notes and transcripts, brand documents, proof, saved answers and the public website content we read (to write pages, battle cards and briefs); questions prospects ask on a page, with the company's material, to draft a reply the customer reviews before sending; anonymized buyer questions and worries (for buyer voice); and search requests to find competitors (Anthropic's web search). Prices in Deal desk and proposals are calculated by Verbatim, never by AI. We don't use customer content or prospect activity to train AI models, and Anthropic's commercial terms don't allow it either.
Who we share it with
We don't sell or rent personal information. We share it only with service providers that run Verbatim for us, only as needed:
- Cloudflare: hosting, database and reading websites.
- Anthropic: AI writing.
- Resend: sign-in links and alert emails.
- Stripe: subscriptions and payments.
- Slack: alerts, only if a customer connects it.
We may also share information if the law requires it, to protect people's safety or our rights, or as part of a merger or sale of the business, in which case this policy continues to apply.
How long we keep it
We keep customer data while the account is open. It's then deleted automatically:
- If you delete your account in Settings, everything is deleted 30 days later. Until then, you can sign in and keep it.
- If your subscription is canceled and ends, your data is deleted 30 days after the paid period ends. We email you a week before.
- Prospect activity is stored with the page it belongs to. It's deleted when the customer deletes that page (any page can be deleted from its screen), or when the customer's account is deleted. To have your information as a prospect deleted, ask the person who sent you the page, or write to us.
- Sign-in links and copies of emails we send are deleted after 30 days.
Billing records stay with Stripe as the law requires. We keep total AI usage costs with nothing personal attached. Deleted data may remain in encrypted backups for a short time until they expire.
Security
Traffic is encrypted in transit. Slack access tokens are encrypted at rest. Sign-in uses one-time email links, so there are no passwords to steal. No system is perfectly secure. If we learn of a breach that affects your information, we'll tell you without unreasonable delay.
Your choices and rights
You can ask us to show, correct, export or delete your personal information, or to stop a particular use of it. Depending on where you live, you may have more rights under local law. We'll honor them and won't treat you differently for using them. Email dave@lumatrait.com. Customers can also edit their profile, turn off Slack alerts or delete their account in Settings at any time.
Children
Verbatim is a business tool and isn't meant for anyone under 18. We don't knowingly collect information from children.
Changes
If we change this policy in a way that matters, we'll update the date above and, for customers, tell you by email or in the app before the change takes effect.
